When Fairfax County, VA, decided to modernize how they tracked and supported local businesses, they turned to Bludot—a CRM purpose-built for economic development teams. What followed was a multi-month, highly strategic data transition and implementation that not only improved internal processes, but also empowered the county to respond faster and more intelligently to the needs of its business community.

We sat down with James Lear, a Business Analyst with Fairfax County, to hear firsthand about their experience implementing Bludot and the lessons they learned along the way.

Starting from scattered

Fairfax County’s data wasn’t just siloed—it was “scattered all over the place,” said James. “There were multiple versions of data sets, some with different data elements in each.” To prepare for migration into Bludot, they developed a structured, multi-step process:

“We used this opportunity as somewhat of a fresh start... to really look at the types of data we were gathering and start to create some data governance within the organization.”

Their process included identifying data owners, standardizing fields, cleaning records, and aligning values with Bludot’s built-in structure. The final review ensured that everything was both consistent and useful—an essential step, James emphasized, for reliable future decision-making.

Making historical data work for you

One of Fairfax County’s key needs was carrying over historical data—especially program participation and past interactions. Bludot’s flexible Label functionality proved essential:

“We used the Label functionality in Bludot to assign labels to businesses to track the various programs that they had participated in and their status in those programs... We never had that kind of holistic view of program participation before.”

For more detailed engagement data, James’s team utilized Activity Forms and worked with Bludot to integrate those into their workflow. With Bludot’s support, they even enabled programmatic access to this information, allowing them to build custom dashboards with far greater visibility than their old system ever allowed.

A responsive partner in transition

James was candid about the transition workload—but quick to credit Bludot’s team for making it manageable.

“The Bludot team was extremely helpful in supporting us through the transition... Having worked with many software over the years, I can say it was great working with a team that was extremely responsive as well as knowledgeable about their system.”

That partnership was essential for aligning Fairfax County’s unique needs with Bludot’s capabilities—without compromising system integrity.

Immediate impact, long-term potential

The benefits of a centralized, standardized CRM are already proving their value. James shared how Bludot helped Fairfax County respond to recent Federal policy changes:

“We were able to use Bludot to quickly identify businesses that we wanted to provide outreach to. We’ve started using Bludot’s survey capabilities to gauge the pulse of the business community.”

Now, with data that’s both clean and connected, Fairfax County is positioned to make smarter, faster decisions—and to be more proactive in supporting its businesses.

Advice for other economic development teams

James had clear advice for organizations looking to transition into Bludot:

“Be prepared to do a lot of work up front if you don’t already have your data in a central structured format... Garbage in, garbage out. You want to make sure that you are putting quality data into Bludot or you won’t be satisfied with the results.”

He also recommended using the transition as a moment to evaluate and improve business processes—an opportunity to not just change tools, but to improve outcomes.

Bludot: More than a CRM

Fairfax County’s journey with Bludot is more than a story about migrating data. It’s about creating clarity, building trust in information, and developing processes that actually support the mission of economic development.
